Temporary Staff - FAQ’s

Welcome to the Cultivate Team. We’ve put together some answers to frequently asked questions you may find helpful.

You can view and request leave via the Karmly timesheet portal.

Before applying for leave via Karmly, ensure you have spoken to and gained approval to have time off from both your onsite manager and your Cultivate Consultant.

Once approved, please lodge this in Karmly and the approval comes through to Cultivate payroll to approve.

Reminder - your timesheet is only for WORKED hours, so do not enter hours into your timesheet if you are on leave / not working.

How to do this in Karmly
To request leave, navigate to the leave tab within Karmly and click on the first date of your leave request, then click on the last date of your leave request. You can then select the ‘Leave Type’, ensure the start and end dates are correct, and add Notes about the leave if desired.

Click ‘Request’ and the leave will be submitted to payroll (not your manager) for approval. When the request has been approved or declined, you'll receive an email confirmation.

You can also view your balances to ensure you have enough current/future leave in this screen too i.e select the dates in the future you would like off and it will estimate your leave balance at that date.

What if I don’t have enough annual leave balance for my upcoming leave?
If you are planning on taking time off and don't have enough balance, part of the time off will be unpaid. Please only apply for annual leave in line with the balance you have, with the rest being unpaid leave.

What if I went home part way through the day?
‍If you are entitled to sick leave, you can apply for 1/2 day, 1/4 days or 3/4 sick leave in Karmly via the leave tab. Enter the hours you did work into your timesheet for that day.

The Holiday Leave balances displayed are:

Current Due - This is the balance of leave that is currently available to you. Leave becomes due each year on your employment anniversary. The ‘current due’ balance represents the remaining leave you have accumulated since your last anniversary.

If this balance is a negative number, it generally means you have taken Leave in Advance before you were entitled to it on your 1 year anniversary.
‍
Therefore, to calculate the correct available balance, you need to subtract this number, if it is a negative, from your estimated leave in advance number.

‍Estimated Leave in Advance - This balance is an estimate of the leave you would be entitled to if you were to take leave before your next anniversary. It is calculated based on how far you are into your current entitlement year and your current work pattern.

Total Estimated Leave - As per the screen shot below, the easiest way to see what your balance is today, is by clicking on the date/s you want to take leave - the number displayed in Total Estimated Leave is your balance.

‍Important to Note - Any leave that has been approved for payment but not yet taken is not deducted from these balances.
